Terms and Conditions
These Terms & Conditions apply to the hire of plinths, props, décor items, and event hire products (“Hire Items”) from Forma Event (“we”, “us”, “our”) to the customer (“Client”, “you”, “your”).
By placing an order, paying a deposit, accepting a quote, or using our hire items, you agree to the following Terms & Conditions.
1. Booking Your Hire
Your booking is confirmed once:
- Your deposit has been paid;
- Availability has been confirmed by us in writing; and
- You have accepted these Terms & Conditions.
All hire items remain the property of Forma Event at all times. We reserve the right to refuse or cancel bookings where necessary.
2. Hire Period
Standard hire periods are listed on each product page unless otherwise agreed.
- Extra hire days may incur additional charges.
- Late returns or delayed collections may result in late fees.
- You are responsible for all hire items from the time they are delivered, collected, or handed over until they are returned and inspected by us.
3. Payments
- A 25% non-refundable deposit may be required to secure your booking.
- Full payment is due at least 14 days before your event unless otherwise agreed.
- Bookings made within 14 days of the event must be paid in full at the time of booking.
- All prices are listed in AUD and may include GST where applicable.
- Unpaid bookings may be cancelled.
4. Security Bond
Hires require a bond depending on the hire piece. Minimum of $100.
Your bond will be refunded up to 5 days after the event ends : once all items are returned, inspected, and confirmed to be in acceptable condition, allowing for normal wear and tear.
Deductions may be made for:
- Damage
- Missing items
- Excessive cleaning
- Late returns
- Repairs or replacement costs
If damages exceed the bond amount, you agree to pay the remaining balance.
5. Delivery & Collection
Delivery and collection fees apply unless otherwise stated.
Please note:
- Delivery is to ground-floor access only unless agreed otherwise.
- Additional fees may apply for stairs, elevators, difficult access, long walking distances, after-hours services, or public holidays.
- You must ensure safe and clear access to the venue.
- Additional charges may apply if delivery or collection cannot be completed due to restricted access, venue delays, or incorrect information provided.
- Unless setup services are included, all items are supplied on a drop-off and pickup basis only.
6. Your Responsibilities
You agree to:
- Use all hire items safely and only for their intended purpose;
- Protect items from weather, theft, and damage;
- Not alter, paint, glue, drill, nail, or modify any items;
- Not sub-hire or transfer items to another party; and
- Supervise children around hire items at all times.
Please handle mirror plinths, acrylic plinths, and decorative props carefully, as they can scratch, crack, or tip if misused.
7. Condition of Hire Items
Some items are handmade, vintage, or decorative and may show minor imperfections or signs of previous use.
Please inspect your items upon delivery or collection and notify us immediately if there are any concerns. Continued use of the items is considered acceptance of their condition.
8. Damage, Loss & Theft
You are responsible for any loss, theft, or damage during the hire period.
Damaged or missing items may be charged at repair or replacement cost, including:
- Sourcing
- Freight
- Labour
- Repairs
- Cleaning
- Loss of future hire income
Any damage or loss must be reported immediately.
9. Cleaning
Hire items must be returned in a reasonably clean condition.
Please remove:
- Food
- Candle wax
- Adhesives
- Confetti
- Paint
- Glitter
- Stains
Additional cleaning fees may apply if excessive cleaning is required.
Mirror and acrylic surfaces must not be cleaned with abrasive products or harsh chemicals.
10. Outdoor Use & Weather
Items used outdoors remain the responsibility of the client.
Hire items must be protected from:
- Rain
- Wind
- Mud
- Heat
- Moisture
- Unsafe ground surfaces
We may refuse installation if weather conditions create safety risks or may damage the hire items.
No refunds will be provided due to poor weather conditions.
11. Cancellations & Changes
All cancellations must be made in writing.
- Deposits are non-refundable.
- More than 30 days before the event: refund available excluding deposit.
- 14–30 days before the event: up to 50% of booking value may be forfeited.
- Within 14 days of the event: all monies paid may be forfeited.
Date changes are subject to availability.
Credits may be offered at our discretion.
Custom-made items, signage, and special-order products are non-refundable once production has commenced.
13. Photography & Marketing
We may photograph our hire items at events for marketing and promotional purposes.
By hiring from us, you allow us to use images featuring our products on our website, social media, and promotional materials unless requested otherwise in writing.
14. Liability
To the maximum extent permitted by law, Forma Event is not liable for:
- Injury
- Loss
- Property damage
- Indirect or consequential loss
- Event disruption arising from the use of hire items
You assume all risk associated with the use of hire items during the hire period.
Nothing in these Terms excludes rights that cannot be excluded under Australian Consumer Law.
15. Force Majeure
We are not liable for delays, cancellations, or failure to perform due to circumstances beyond our reasonable control, including:
- Severe weather
- Natural disasters
- Accidents
- Transport disruptions
- Supplier shortages
- Government restrictions
- Pandemics
- Venue closures
Where possible, we may offer a credit or reschedule.
16. Website & Product Images
We make every effort to ensure product descriptions and photographs are accurate.
However, colours, finishes, and dimensions may vary slightly due to:
- Lighting
- Screen settings
- Handmade finishes
- Manufacturing variations
Availability is subject to prior bookings and stock condition.
